How pricing works
Edpire charges for how many people you serve, never for how much you assess. Assessment volume is what we want you to grow, so metering it would work against both of us.- One set of licences for every institution. Schools, universities, language centers, training organisations and learning platforms are priced on the same basis.
- Three annual licences: Essential, Standard and Advanced. Each one is a fixed yearly fee that includes a number of learners and a level of service. Learners above that number cost less per head on each larger licence.
- You choose a number of learners for the year and prepay it: your licence’s learners plus any extra learners you add at signature. The smallest licence includes 150 learners.
- Your quote uses the licence that costs least for your number, among those with the service you need. The SLA starts with Standard.
Who counts as a learner
A learner who completes at least one assessment during your contract year, counted once, no matter how many assessments, attempts or retries they take.- Registration does not count. If you have 3,000 accounts and 400 people take an assessment, you are billed for 400.
- Anonymous takers on open links are never counted (see “Guests and public links” below), so a public link cannot change your bill.
- Integrations are counted once per stable learner reference. See Technical Limits for how identity is established.
- The count closes 30 days before your renewal date, and we send it to you that day. A learner whose first assessment falls in those last 30 days is not billed for that year.
Having more learners than planned
Service is never interrupted. Learners above your number are extra learners, handled at two moments:- An extra learner is an annual quantity, so nothing is prorated: raising your number costs the same at any point of the year.
- Your number changes at signature, at renewal and at the one mid-year review, not at other times.
- At the review, a larger number can move you to a larger licence when that costs less.
- A year never costs more than 1.3 times the prepaid price for the number of learners counted.
- A larger number also raises your included volumes and rate limits.
- Unused learners are not refunded and do not roll over.
- We email you at 80% and 100% of your number, show a live count in your dashboard, and send you the count 30 days before it is invoiced.
What each licence includes
Every licence:- The Edpire assessment builder, with every exercise type, automatic and manual grading
- Rosters, classes and multi-teacher administration, or the REST API, webhooks and
@edpire/sdk, as you need them - Organisation-wide analytics and your branding on learner-facing pages
- Email support in French, English and Arabic
- Free video tutorials for your whole team
- Platform updates and new features as released, with no upgrade fee
Maintenance means platform updates, security patches, and API stability under the versioning policy, plus uptime per the SLA on the licences that include it. It does not include bespoke development, custom exercise types, or content production.
Available as extras: additional training by the hour; an authoring workshop (half day or day)
where your existing material becomes Edpire assessments with your team; a go-live pack for
integrations (integration review, SLA activation, pen-test window, go-live support); a custom domain
for learner pages; and white-label deployments.
Included volumes
Every licence includes monthly submission and API call volumes that scale with your number of learners. They exist as abuse protection, not as a meter:- Passing one is never charged and never interrupts your service.
- We email you at 80% and 100% so that growth is never a surprise.
Guests and public links
Some assessments are shared by link rather than assigned to a named learner.- A class link asks the taker who they are (a name, a roster pick, or a class code). Those takers are identified and count as learners, like anyone else.
- An open link is fully anonymous. Anonymous takers are never counted, so a link that spreads further than you expected can never change your bill. Because those takers did not identify themselves, open-link assessments report aggregate results only.
Billing terms
- The licence runs for 12 months
- Paid in full at signature, or in 2 or 3 instalments within the contract year at +5%
- A 2-year commitment prepaid at signature receives a discount and a price lock for both years
- Paid pilots of 3 months are available on the licence you choose, credited in full against the first year if you continue
- Payment by bank transfer against an invoice, due within 15 days
- All prices are stated HT, excluding applicable taxes. VAT or equivalent applies where required by law
- A live assessment is never interrupted over an unpaid invoice
Renewal, cancellation and price changes
- Licences renew automatically unless cancelled with 30 days written notice before the renewal date
- Next year’s price is sent to you 60 days before your renewal
- At renewal, your number is updated from the number of learners actually measured, on the licence that fits it
- Cancellation takes effect at the end of the current paid period. There are no partial refunds
- After cancellation, you may request a full export of your data. Contact support@edpire.com
- Edpire gives a minimum of 60 days advance notice by email before any price increase, taking effect at the next renewal. You may cancel before it applies, without penalty
